A major function of Monitoring is to understand and identify gaps between the plan and execution and fine-tune them accordingly. Red Ribbon Express, being a mega project has multiple levels of activities and a significant emphasis has been given on the monitoring and evaluation aspects. Thus, different formats have been developed to achieve this end. The following four formats other than monitoring tables have been developed for the activities at ground level:-

1. Format No.1: Monitoring the activities at the Programme Village (PV) level

What is this:
This format is meant for monitoring the village level activities on the day of the programme. One format has to be filled up in each programme village, i.e. for four programme villages four formats have to be filled.

Who has to fill this format up: This format has to be filled up by the volunteers in the train. They have to fill up the formats for all the programme villages on their route.

Whom to hand over the formats:

The volunteers on the train shall hand over these filled up formats over to the NYKS officer in charge present in the train (YC).
Youth Coordinator will submit them, to their Zonal Director.
Within a weeks time ZD will send a compiled report of this information to the RRE cell, NYKS H.Q through post or email.

2. Format No. 2:
Village level Feedback Format

What is this: This format is meant to get feedback of 10 people from each programme village, i.e. in each programme village 10 formats have to be filled up. While filling up the format, representation of the entire village should be made in the format

Who has to fill this format up: This format has to be filled up with help from the RRE Train cultural Team (TCT). The members of the TCT are supposed to ask the questions and tick the answers themselves. The person filling up the form shall tell the people what the four options are and then tick the option that the villager chooses.

Whom to hand over the formats:
After all the formats have been filled the team leader shall hand over the formats to the NYKS officer in the train.
DYC shall later submit them to their Zonal Director.


3. Format No. 3:
Focus Group Discussion

What is this: After the street play is over this discussion has to take place and has to be filled up at that time. This format is basically a guideline, for as how to conduct the FGD. There are two parts to this format that needs to be filled up

Who has to fill this format up: The responsibility of filling up this format first lies on the Regional Trainer, secondly on the trained youth leaders, Panchayat representative or the woman worker, Thirdly on any local NGO. These three types of people can facilitate and fill this format up.

Whom to hand over the formats:

Once the format is filled they should be handed over to the NYKS official present in the train.
He should pass on these formats to his Zonal Director.

4. Format No. 4: Daily activity reporting format

What is this: This is a daily activity-reporting format

Who has to fill this format up: It has to be filled up by the DYC of the district from the day the RRE reaches that particular district and up to the day it stays in there, if the RRE is in that district for 3 days then this format has to be filled for each day i.e. 3 formats, 1 for each days has to be filled up by the DYC.

Whom to hand over the formats:
The formats for each day has to be faxed at the RRE cell at the end of the day at the fax no. 011- 22445760 and 011 - 22446069 with att. RRE mentioned on top.
